Salesforce 101
As part of the monthly updates, the project team would like to begin incorporating an educational component to help prepare you for everything Salesforce has to offer. This Salesforce 101 section will be located within the documentation section of the Ross Insight website for future reference.

Accounts & Affiliations
Affiliations are a way to associate a Contact to an account as a student, prospective student, applicant, faculty, or employee. Organizations like academic departments, administrative departments, companies, and other institutions are represented as accounts, and you connect these various accounts to contacts through affiliations.
For example, a contact can have an affiliation with the Ford Motor Company account as a former employee, as well as have an affiliation with the Ross School of Business account as a current student. This would be presented as 2 affiliations tied to one contact record.

What is a Campaign?
Here are the primary types of campaigns that you can use:
- Events – Track event attendance for Ross hosted events or joint school events. Was attendance worth the investment?
- Load Lists – Load purchased names from GMAT or GRE test takers into a campaign and run reports on the effectiveness of your investment at the end of the year.
- Email – Send emails to purchased lists, event attendees and Ross website inquiries enticing them to apply for specific programs. Track who opened your emails and clicked on your links.
- Direct Mail – Mail marketing materials, admissions communications, or brochures through the post office.

What is an Opportunity
An Opportunity in the Ross Insight Salesforce instance is where we track the various stages of the student lifecycle. This will take us through the recruitment, applicant, admit, matriculation, as well as enrollment stages. Each prospective student contact record will have an Opportunity record for each academic program or executive education course they express an interest in, apply for, are admitted to, or complete.
Open Contact Model
Today, Ross admissions units have their own siloed data for prospective students. Some of this data should be kept private, like admissions scores, but some data, like current email address, street address or phone could be shared across Ross, but is currently kept private. Ross alumni also has their own siloed data for alumni donors. Some of this data should be kept private like donor amounts, but some data, like most recent email address, street address or phone is also kept private.
Imagine if we could share certain aspects of our contact records across Ross units, but still keep our private information private. This is the open contact model in Salesforce. Everyone can see certain attributes of a contact record, but the information that is private to your line of work can only be viewed, edited, added or deleted by specific users on your team. This creates a more up to date contact record that benefits not only Ross staff, but Jane Doe will actually feel like Ross knows her because all of her communications are going to her current email address or home address.
